Booking a car for someone else is a small task that carries a lot of responsibility. If the chauffeur is not there, it reflects on you. If the invoice is wrong, it takes an afternoon to sort out. If the guest is sent a vehicle that is too small for their luggage, they notice. Good corporate travel is simply the removal of those risks, journey after journey.

This page explains how companies book with us, what we need, how guests are looked after and how invoicing works.

Who books?

Personal and executive assistants, office managers, HR teams bringing in new starters, travel managers, event organisers and partners at professional firms booking for their clients. Many of them book for other people and never travel in the car themselves. The booking process is designed so they can do it quickly and know it is done.

What we need for each booking

The passenger’s name and mobile number, the flight number, the destination, the name to show on the board, the car class, and any cost code or reference your finance team needs on the invoice. For regular passengers, we keep their preferences so you do not need to repeat them each time.

Keeping you informed

Many bookers want to know that the guest has been met without having to ask. We can send a message to the booker when the passenger is in the car and another when they reach the destination. If anything goes wrong, such as a cancelled flight or a guest who has missed the connection, we contact the booker as well as the passenger.

Visiting clients

A client arriving from New York or Singapore to meet your partners at 09:00 needs to land, be met, reach the hotel, change and be at your offices on time. Tell us the whole plan. We can take the client from the airport to the hotel and send a second car at the right time for the meeting, or keep one car and chauffeur for the morning. The E-Class is the usual choice; for senior visitors, the S-Class.

Board members and senior staff

Non-executive directors and senior colleagues travelling to board meetings often have fixed patterns: the same flight, the same hotel, the same meeting room. Once we have that pattern, a single message confirms each trip. If the same chauffeur is available, we assign them, so the passenger sees a familiar face.

Conferences and events

Event organisers use us to bring speakers and guests from several airports to a venue or hotel over a day or two. Send us the list of names, flights and destinations, and we will build a schedule and confirm each journey. For a group arriving on the same flight, one vehicle is simpler; for staggered arrivals, several cars are timed to each flight.

Teams travelling together

For four to six colleagues travelling to the same place, the V-Class seats everyone in comfort, and the facing seats in many layouts make it easy to talk on the way. For larger teams, several V-Class vehicles travel together and arrive at the same time.

Invoicing

For companies booking regularly, invoices can be addressed to the right entity, carry cost codes and references, and be sent to the finance team rather than the booker. Tell us how your company prefers to be invoiced when you get in touch, and we will set it up.

Duty of care

Companies have obligations to their staff and visitors. All London private hire drivers and vehicles are licensed by TfL, and chauffeurs are subject to enhanced background checks as part of that licensing. The driver’s licence number is available on request. If your company has its own requirements, send them to us, and we will tell you plainly whether we meet them.

Changes and cancellations

Plans change constantly in business travel. Reply to the confirmation or message us with any change: a new flight, a different address, an extra passenger. We confirm each change and any effect on the fare before it happens.

New starters and relocations

HR teams often book a car for someone moving to London for a new role, sometimes with their family. It is the first impression of the company and of the city. Give us the arrival details and the temporary address, and we will send a car large enough for a relocation’s worth of luggage. A short welcome note from the company, handed over by the chauffeur, is easy to arrange if you send it to us in advance.

Travel between offices and sites

Companies with offices in London and around the South East use us between sites as well as airports: the City to Canary Wharf, London to Reading, Cambridge or Oxford, or to a client’s site for the day. The same account and the same invoicing arrangements apply. Hourly hire suits a day with several stops.

    Agreed when you book. Traffic, a longer route on the day or a late landing do not change it.

    Airport drop-off and short-stay parking charges are part of the price, not added afterwards.
